Employers are encouraged to report their employee wage information (Wage Detail section of JFS-20125 or JFS-20126) by magnetic media. Reporting by magnetic media greatly reduces the possibility of errors and allows for faster, more efficient processing of wage information by the department.

Ohio Employers Guide to Magnetic Media Wage Reporting - A guide to assist employers with magnetic media filing requirements, including the specifications for creating a file in the ICESA format and the pre-approval process for the submission of wage record data via CD, DVD, or diskette.

Effective January 1, 2011, an updated version of Free Data Entry Software is available. The data entry software enables you to enter the names and social security numbers of your employees once, and then only the weeks and wages need to be updated each quarter before submitting your report.  A zipped, downloadable version is available at:  http://www.odjfs.state.oh.us/OUCDownload/ODJFS-Wage-Reporting-Program.zip.  The zipped file contains a readme.txt file containing instructions on installation and utilization of the Data Entry Software.  For any additional questions related to the software, please e-mail us at wageohio@odjfs.state.oh.us or call us at (614) 466-2319, ext. 22489.

Important Information for Current Magnetic Media Reporters

Effective January 1, 2011, we will no longer accept tapes or cartridges.  CDs, DVDs, and diskettes must be submitted in ICESA format.

CDs, DVDs or diskettes of poor quality and/or submitted in an incorrect format will be returned to the employer for correction and resubmission. They will not be considered as a fulfillment of the employer's quarterly reporting requirement.

If you file using plant code assignments and need to correct some or all the data submitted, please contact the Wage Record Magnetic Media section at (614) 466-2319, ext. 22489 or e-mail us at wageohio@odjfs.state.oh.us for instructions on how to update information previously submitted.

Can employers pay taxes electronically?

The Ohio Business Gateway was created to provide small businesses with a means by which they can expediently report and pay multiple Ohio taxes through a single website. The website was designed by an interagency team consisting of members from the Ohio departments of Job and Family Services, Taxation, Administrative Services and the Bureau of Workers' Compensation. Employers who have an active account with ODJFS may file electronically at either www.unemployment.ohio.gov or at the Ohio Business Gateway
