Important Notice to prospective Trading Partners

In preparation for the new Medicaid Information Technology System (MITS) we have temporarily suspended the enrollment of new trading partners with the Ohio Department of Job and Family Services. You may continue to send the Required Forms for enrollment (Medicaid Trading Partner Form aka the Profile and the ODJFS Trading Partner Agreement) but ODJFS will not be assigning any new trading partner numbers or allowing testing to begin until the new MITS has been successfully implemented.

Please visit the MITS website often for important updates and information at: http://jfs.ohio.gov/mits/index.stm

Getting Ready for MITS

With the implementation of MITS, ODJFS will no longer accept the generic 'dummy ID' 9111115 in any element of the 837 transaction.  In the 837 transaction where a medical practitioner ID is required, such as the referring provider ID on the professional and dental claims, or the attending provider ID on the institutional claims, only an NPI may be used.  Any claims submitted using this generic ID on any claim type in MITS will deny.

Please note, this does not apply to atypical providers (non-healthcare providers) that are not required to obtain an NPI. These providers can continue to bill using their Ohio Medicaid 7-digit legacy provider ID, but should never use the generic ID 9111115.

For details about data element content, structure and format, please visit the ODJFS Trading Partner web site: http://jfs.ohio.gov/OHP/tradingpartners/info.stm and refer to the ODJFS Companion Guides.

Formatting changes - EDI Remittance Advice:

In MITS, the 835 EDI remittance advice will continue to be sent to our trading partners once a week. The format of the file will be the same but may include some differences in the data. An example of this would be the current TCN, transaction control number, assigned in adjudication and reported in the CLP07 of the 835, will now be referred to as the ICN, interchange control number. The Companion Guide for the 835, as well as all other EDI transactions, will be made available to our trading partners in the near future.

Using Diagnosis (ICD-9) Codes:

For successful claims processing, the complete ICD-9 must be used. The coding that is reported must include the highest specificity for the diagnosis.

Do you know how to take advantage of all the information that ODJFS sends to you automatically? The trace file, the U277 and the 824 all contain valuable information that lets you track the progress of your claim files. Be sure to check your download folder for these files regularly after uploading your claims. If you have any questions about the information contained in these files, please contact the EDI Support Unit or see the ODJFS Companion Guides on the Trading Partner web site.
